Meeting Room Information

Here you will find the relevant information and forms to complete for your meeting room. If you have any questions, please contact Charlotte. Please ensure you read each section carefully and meet the required deadlines. We look forward to working with you in making this a successful event!

Deadlines & dates to be aware of

Please adhere to the following deadlines:

  • Onsite Signage / Meeting Room Signage - June 16, 2020 - Please send high resolution logos (in .eps or.ai format) for all onsite signage and meeting rooms to Charlotte
  • Booth approval request - July 7, 2020 - All space only/built booths are required to submit their booth diagrams, dimensions, hanging signs or pictures for approval. Double decker booths/meeting room builds must submit plans by June 23, 2020
  • Register passes - July 28, 2020
  • Art Craft - August 10, 2020
  • AV Orders - August 10, 2020
  • Lead Retrieval - June 19, 2020 for early bird discounts. July 6, 2020 for final orders
  • Wi-Fi / Internet - August 10, 2020
  • Power - August 10, 2020
  • Shipping - July 14, 2020 – August 14, 2020 - Art Craft Shipping warehouse can accept deliveries between these dates. Receiving hours are 8:30am-4:30pm, Monday-Friday

What next?

  1. Read the INFORMA RULES AND REGULATIONS HANDBOOK (CLICK HERE) thoroughly.
  2. Send your high-resolution eps or ai logo to Charlotte
  3. Complete the HEALTH & SAFETY FORM (CLICK HERE) and email to Charlotte by July 7, 2020

Please be aware that you can have a maximum of 1 pop-up banner outside your meeting room.

If you are planning to “build” inside your meeting room you will need to submit your plans to Charlotte for approval. Building inside a fixed meeting room is slightly more complex than the regular space only booth sign off so you must contact Charlotte immediately if you are planning to do this.

What next?

  1. Read the INFORMA RULES AND REGULATIONS HANDBOOK (CLICK HERE) thoroughly.
  2. A sign with your company logo or name will be placed on the outside of your meeting room. Your company name with be provided free of charge or alternatively you can upgrade to have your logo. Please send your company name to Charlotte or contact her for upgrade costs 
  3. Complete the HEALTH & SAFETY FORM (CLICK HERE) and email to Charlotte by July 7, 2020
